1. Overview

Illustrated Stats ("we", "us", or "our") is operated by Illustrated Analytics LLC. We provide a hosted application — available on the web at illustratedstats.com and as a mobile app through app stores — for basketball statistics tracking, roster management, film study, and performance analysis. The mobile app is a native shell that displays our hosted service.

This Privacy Policy explains how we collect, use, and protect personal information when you use Illustrated Stats. Because we operate the hosted service, Illustrated Analytics LLC is the data controller for personal information processed through illustratedstats.com and the Illustrated Stats mobile app. Schools, clubs, coaches, and team staff who add player or roster information are responsible for ensuring they have the authority to do so.

2. Information We Collect

  • Account and contact information: Name, email address, account/user ID, optional organization name, and optional location information you choose to enter (state, county, and city). You can skip personal location during account creation or invitation acceptance and still use the service. We do not ask for a street or mailing address. We also store a password hash, theme preference, verification timestamps, and account status.
  • Device and sign-in information: Device identifiers and push-notification tokens associated with your account when you register a device for notifications; remembered-device identifiers for sign-in; and public-key credentials if you enable passkeys. Face ID and Touch ID biometric data stay on your device and are not sent to us.
  • Player information: First and last name, birth year and month (for age-group and eligibility calculations), graduation year, position flags, jersey numbers, contact emails (primary + delegates), invite/claim status, and optional notes.
  • User content: Rosters, game logs, player and team statistics, shot locations, lineups, film links, film study notes, video timestamps, and event annotations entered or imported by authorized users. Coaches and staff may enter player names and contact emails on a team's behalf. Film study stores links and annotations; the service does not provide video-file uploads.
  • Team and season metadata: Team names, season definitions, role assignments (Owner, Admin, Coach, AD, Member), and membership status.
  • Usage and audit logs: Account-linked page visits, browser/user-agent information, screen and viewport dimensions, login timestamps, password reset activity, theme changes, and administrative actions. We use these records for service-usage statistics, investigating access or display problems, and account security.

3. Children's Privacy — COPPA (US) and GDPR-K / Age of Consent (EU/UK)

Illustrated Stats is designed for organized youth, high-school, and club basketball programs. We take children's privacy extremely seriously.

United States — COPPA (Children Under 13)

In accordance with the Children's Online Privacy Protection Act (COPPA), we do not knowingly collect personal information directly from children under 13. Illustrated Stats accounts are intended for coaches, parents, guardians, team staff, and players age 13 or older. Player roster information about children under 13 may only be entered by an adult (such as a coach, parent, or guardian) who confirms they have the authority and any required parental consent to do so. Coaches and team staff who add player information are responsible for:

  • Obtaining verifiable parental consent before entering or claiming profiles for players under 13.
  • Providing parents with direct notice of the information being collected and how it will be used.

Parents may contact us at the email below to review, correct, or delete information about their child, or to refuse further collection. We will honor verified requests promptly.

European Economic Area / UK — Digital Consent

Where consent is the legal basis for offering an online service directly to a child, the applicable age is generally 16 in the EEA, with some countries setting a lower age, and 13 in the UK. A parent or guardian must provide any consent required below the applicable age. Adults entering player data confirm they have the authority and any consent required in their jurisdiction.

Our Commitments for Minor Player Data

  • Data minimization: Only the minimum fields required for legitimate team operations (roster eligibility, age-group placement, statistical tracking, and safety) are collected for players.
  • Restricted display/export: Certain sensitive or contact fields for players determined to be minors are suppressed or redacted in public-facing views, PDF exports, and bulk reports unless the requesting user has explicit coach/admin rights on that specific team.
  • Age-group calculations: Birth year and month are used solely to compute age-group eligibility and season-appropriate cohorts. Full birth dates are never required or stored.
  • Consent and claim flows: Player profile claim and delegate invitation flows include explicit language about data use and parental involvement for minor players.

4. How We Use Information

  • Provide core basketball statistics, roster, film study, and reporting features.
  • Enable coaches and staff to manage teams, seasons, and player development.
  • Support account security (2FA, password resets, login auditing).
  • Deliver invitations, account messages, selected reports, and notifications you enable.
  • Understand service usage and diagnose display or navigation problems using the account-linked usage records described above.
  • Use voluntarily provided location information with service-usage reports to understand basketball participation and activity around major AAU tournaments. This is first-party community and adoption reporting; we do not use personal location as proof of US residency or eligibility.
  • Allow organizations to export their own data for record-keeping or migration.
  • Comply with legal obligations and protect against fraud or abuse.

5. Data Sharing and Third Parties

We do not sell personal information, use it for cross-app advertising tracking, or share it with data brokers. Account, device, location, content, and usage records described above may be linked to your account and are used for app functionality, security, support, and our first-party service-usage analytics.

  • Email delivery: Google's Gmail SMTP service processes recipient addresses and the contents of invitations, sign-in messages, and reports we send.
  • Notifications: Apple's Push Notification service processes device tokens and notification payloads to deliver notifications you enable on Apple devices. You can turn notifications off in your device settings.
  • Interface resources: The website loads its icon font from Cloudflare's cdnjs service. That provider receives the network information needed to deliver the resource, such as an IP address and browser request details.
  • Film links: Opening or playing externally hosted film may send your request to that video provider, under its own privacy policy. We store the film link and annotations, rather than hosting uploaded video files.

Our page-view and audit records are operated by us. We do not use an advertising analytics or third-party crash-reporting SDK in the current service. We do not read your email inbox, upload your device's address book, or provide user-to-user email or text messaging. Automated invitations and reports are service notifications. Organizations and account holders must have authority to share the team and player information they enter.

Paper score sheets (limited beta)

Authorized team administrators can print roster-based score sheets. If photo reading is enabled and you choose to use it, your selected sheet and the roster names, jersey numbers and internal identifiers needed to match players are sent to OpenAI to prepare an editable statistics draft. Do not include unrelated personal information. We remove photo metadata before sending the image. You must check the extracted values and explicitly confirm before any statistics are saved.

Our application does not permanently store source photographs or include them in application logs or backups. The photo is processed in memory and its browser preview is cleared when you remove it or leave the page. OpenAI has separate retention controls and exceptions; disabling response storage does not alone guarantee zero provider retention. Photo reading remains disabled until the provider retention setup is approved for the beta. Confirmed statistics become normal team records under the retention rules below. 6. Data Retention

Data is retained for the duration of your active use of the service plus a reasonable period for historical season records (typically 3–7 years, depending on team needs and legal requirements). Account owners and authorized team staff can delete records, and you may also request deletion by contacting us. When an account or player record is deleted, associated statistical and film data is removed or anonymized.

7. Your Rights

Depending on your jurisdiction and relationship to the data, you may have the right to:

  • Access the personal information held about you or your child.
  • Request correction of inaccurate data.
  • Request deletion of personal information (subject to legitimate team record-keeping needs).
  • Request a portable copy of your data (export).
  • Withdraw consent (where processing is based on consent).
  • Lodge a complaint with a supervisory authority (GDPR/UK).

To exercise any of these rights, contact us at the email below. If your data was entered by a coach or team on your behalf, we may coordinate with that team to fulfill your request.

8. Delete Your Account

You can permanently delete your Illustrated Stats account and associated personal data at any time:

  1. Sign in to your account at illustratedstats.com (or in the Illustrated Stats mobile app).
  2. Open your account dashboard and select Edit Account Details.
  3. Choose Delete Account and confirm.

Deleting your account permanently removes your profile information (name, email address, and location), your login credentials, and your team memberships. Team-level records you entered on behalf of a team (such as game results and statistics) may be retained for that team's historical season records as described in Section 6, subject to the removal or anonymization of personal information. If you cannot access your account, you may request deletion by emailing [email protected] from the address associated with your account, and we will process the request promptly.

9. Security

We operate the application with least-privilege database accounts, parameterized queries, input validation, strong authentication (including optional 2FA), encrypted connections (HTTPS), and regular backups. No method of transmission or storage is perfectly secure, but we take reasonable measures to protect your information.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be announced in release notes and the policy date above will be updated. Continued use of the software after changes constitutes acceptance of the revised policy.
